Assistant Director - Pink Boots Society
About Pink Boots Society
Pink Boots Society is a national nonprofit organization empowering women and non-binary individuals in the fermented and alcoholic beverage industry through education, scholarships, networking, and community. We support approximately 65 chapters across the country and award scholarships on a quarterly basis to help our members grow personally and professionally.
About the Role
The Assistant Director is the operational heart of Pink Boots Society's member-facing programs. You'll be the primary point of contact for our members, chapter leaders, and scholarship recipients — owning the scholarship program from application to award, managing chapter relationships, maintaining our member community, and keeping our newsletters and events running smoothly.
This is a part-time, fully remote role that's ideal for someone who is detail-oriented, people-centered, and thrives on managing multiple moving parts at once. You'll work closely with the Executive Director and have real ownership over programs that directly impact our members.
What You'll Do
SCHOLARSHIP PROGRAM
▸ Manage the national scholarship program end-to-end in OpenWater — quarterly cycles, one-off scholarships, board reviewer coordination, and recipient notifications
▸ Track Pay It Forward completion for all recipients and proactively follow up to ensure compliance
▸ Process chapter scholarship requests and build chapter-specific cycles in OpenWater
▸ Renew annual memorandums of understanding with scholarship partners
CHAPTER & MEMBER RELATIONS
▸ Serve as the primary point of contact for all chapter leaders and members (~10–20 emails/week)
▸ Process chapter event registrations, manage chapter ledger updates, and fulfill rack card requests via Canva
▸ Assist with the annual chapter good standing process (October–December) including submissions, check-in calls, and compliance tracking
▸ Maintain the HigherLogic member community through daily forum monitoring and job board management
▸ Oversee the Mentor Match program including monthly check-ins with mentors and mentees
NEWSLETTERS & EVENTS
▸ Assist with producing two monthly newsletters in InformZ — the general member newsletter (1st of month) and the education newsletter (2nd week)
▸ Create event graphics in Canva, set up Zoom links, and build registration pages in NoviAMS for 2–4 virtual events per month
▸ Work with the Marketing Committee to contribute to social media content on Instagram and LinkedIn (goal: weekly posting minimum)
BOARD & COMMITTEE SUPPORT
▸ Process Zoom transcripts into meeting minutes for Executive Committee and Board meetings
▸ Sit on national committees as needed to facilitate committee projects and provide administrative support
What We're Looking For
REQUIRED
▸ U.S.-based with a reliable home office setup
▸ 2+ years in program coordination, member services, or nonprofit operations
▸ Strong organizational skills — able to juggle multiple programs and deadlines
▸ Warm, professional communicator — you'll be the face of the organization for most of our members
▸ Proficiency with Google Workspace and Canva; quick learner with new platforms
▸ Strong writing skills for member-facing emails, newsletters, and announcements
▸ Self-directed and comfortable working independently in a remote, part-time environment
BONUS POINTS
▸ Experience with scholarship administration or grant management
▸ Familiarity with HigherLogic, NoviAMS, OpenWater, or InformZ
▸ Background in or passion for the craft beverage, hospitality, or women-in-trades sector
▸ Experience managing chapter or affiliate networks
